Placing an order
Orders can be made in the following ways:
Online through our website. For many customers, this will also allow you to finalise the order online with a credit card payment
Email by contacting customer service at info@haesemathematics.com
Whether completing an order online or via email, we require the following information:
- Name
- Email address
- Contact telephone number
- Delivery address
- List of products required, and in which format
- Preferred currency
It is the customers responsibility to provide correct and accurate information. Incorrect information may mean we are unable to contact you regarding your order, or the order may be shipped to an incorrect address. We cannot amend delivery addresses once the orders have been dispatched. All personal orders must be prepaid before dispatch.
Telephone orders
To ensure the order is correct, we do not take orders over the telephone.
Haese Mathematics respects your right to privacy. We are compliant with current Australia, European and US data protection laws. We will never sell or release your details to a third party. Your details are secure with us.
Selecting your product
Our website contains the most current information regarding pricing and availability. Freight is not included in the price of the book shown online, and is always added separately.
Customers must ensure they select the correct products before proceeding with a purchase. Before proceeding with payment, please double check the items held in your shopping cart (online orders) or the items listed on the quote (manually processed orders) are correct and for the correct amounts. For online orders containing digital subscriptions, you will be asked three times to confirm that you are purchasing the correct subscription and that you understand that digital subscriptions are sold with specific conditions.
If you need to change information on your order, do not proceed with payment. For online orders, you can alter your shopping cart at any time. For manual quotes, or if you are unsure about anything, please contact info@haesemathematics.com to request the change.
Payments
Online orders
For orders to be completed online, you will need to select to settle with a credit or debit card. You will then be taken to an external site to finalise the payment. We accept MasterCard, Visa and Amex. For payments in USD, we are also able to accept Discover. We are not able to accept UnionPay. Please read any prompts that pop up carefully as failure to do so may prevent your order from being processed correctly. Once processed, you will receive a confirmation email from our server.
If you chose to pay with a bank transfer, your order will be sent to the sales office for manual processing and someone from the sales office will be in touch.
Manual orders
During the quoting process, you will be offered the most appropriate payment method for your order:
Credit card
You will be sent a unique secure credit card payment link. We are able to accept MasterCard, Visa and Amex and for payments in USD, we can accept Discover. The payment page is a 3rd party site. We do not see or collect your card information.
Please do not send credit card information via email as email is not secure.
When making a payment with a credit/debit card:
You authorise the 3rd party payment site entrusted by Haese Mathematics to debit the card by the agreed value shown on the quotation.
You acknowledge that you are the account holder of that card, or have the express permission of the account holder to use that credit facility.
You understand that all credit card transactions are made in your nominated currency. We offer AUD, USD, Euro, and GBP as currency options. If your card is issued in a currency other than the one that has been nominated, your card provider may levy additional fees and charges for paying in a foreign currency. It is the card holder’s responsibility to find out if these fees apply before finalising the transaction. Haese Mathematics is not responsible for any additional charges that are levied by card providers and cannot adjust invoices to match what appears on your statement.
Upon request, you agree to send through additional information to verify that the card used is in your possession and you have the authority to use it.
Bank deposit/transfer
Please contact Haese Mathematics directly at info@haesemathematics.com if you are an individual/private customer who would like to pay for your purchase via bank transfer, as additional processing fees may apply. All international bank charges are the responsibility of the customer. Haese Mathematics reserves the right to request additional payment to cover bank charges before an order is sent. The full quoted amount must arrive in our bank account.
When making payment, you are agreeing to our terms and conditions, and agree that the details on the quote or in the shopping cart are correct.
Processing of orders
Online orders
Orders for digital subscriptions are processed immediately on completion of payment. If you have an existing Snowflake account, the subscriptions will be added directly to your account. If you do not have an account, you will receive an email from our server inviting you to create an account. For online orders with physical books, your order will be forwarded to our warehouse and dispatched as soon as possible. If your book also comes with a Snowflake subscription, that will be emailed though to you. Tracking for your physical order will be sent as soon as it is available
Manual orders
Orders are processed twice a day during our working week. Orders are invoiced and sent to the warehouse for packing when we receive notice of payment. Tracking for orders from our Adelaide or Chicago warehouse will be sent through by our sales team. Tracking for orders sent from our Cologne warehouse will be sent through by our warehouse manager. Information regarding Snowflake will be emailed through to you along with a copy of your invoice.
Door Sales/Click and Collect orders
Customers are very welcome to call into our office in Marleston. To ensure that the book you need is available, we encourage customers to place their order online and opt to Click and Collect. We usually only keep stock of our Mathematics for Australia books at our office. Click and Collect orders are paid online. Please bring proof of your order with you when you collect your book.
Our office is open Monday to Friday, 9am to 4pm.
Visitors to our office can pay with credit/debit card. As stock at our office is limited, orders are filled on a ‘first come, first served’ basis. Books cannot be reserved for later collection.
Respect for our sales staff
Our sales staff deserve to be treated with respect as they do their job. Customers who are rude or argumentative will be removed from the building. To ensure door sales are processed swiftly, please refrain from using your mobile phone in the building whilst completing your order.
Children must be kept under control by their parent/guardian as this is a working office.
Other forms of payment
Cash
Cash is only accepted for door sales at our Marleston office. Please do not post currency; Haese Mathematics will not be responsible if you send cash and it is lost in the post.
Cheques
Unfortunately, we are no longer able to accept cheques as payment.
Refunds
The following items are not eligible for return or exchange unless faulty:
- Mathematics for Australia: Write on student workbooks
- Teacher Resources books
- Homework Books
- Mathematics for the International Student: PYP Student workbooks
- All digital subscriptions
- Older editions listed as not returnable or refundable on the invoice
- Books knowingly sold as damaged copies with discount
- Orders on invoices created more than 2 months ago.

Additional information regarding the purchase of digital only products.
Our digital products are sold for use on our online digital platform, Snowflake ONLY.
You are purchasing access to a subscription; the length of time you will be able to access the subscription for after activation is specified on the information page for that product.
To access the digital product, you will be required to set up an online account on Snowflake, our online platform. Instructions on how to set up an account will be emailed with the subscription code after purchase. Full details can also be found here
Our digital products are NOT PDF files and PDF files of our books will not be given out under any circumstances. This is to protect our intellectual property. Apart from indicated worksheets and printable activities, the subscriptions are not printable.
Before purchase, please check that the browser and operating system that you wish to access Snowflake through is compatible. Further information about the compatibility of each product can be found here . The customer is responsible for checking that their internet speed and download capability will cope with the online platform.
Digital subscriptions are not exchangeable or refundable after purchase.
School orders
We welcome orders direct from schools. Discounts on the purchase of physical books and digital subscriptions are offered.
Please ensure you let us know of any delivery restrictions. For example: closures for school holidays, restricted delivery windows, ability to take palletised orders, labelling of cartons.
Australian Schools
Most schools need a quote before proceeding with an order. Schools can place an order online and opt for Bank Transfer which will send the order for manual processing, or requests can be made to info@haesemathematics.com and our sales team will be in touch with a quote as soon as possible.
When a quote is sent through, we will offer the following payment options:
Credit card – please use the secure link to settle the order. For safety reasons, we cannot take card details over the phone
EFT – the details of our account can be found at the bottom of the quote. Please send through a remittance so we can match your payment to your order and dispatch the order quickly
Purchase Order – we can accept purchase orders with payment terms of 30 days. Please send through a copy of your purchase order and let us know the email address we should send the final invoice to.
US schools
As with Australian schools, most schools will need a quote from us first before proceeding with an order, and you can place an order in the same way as Australian schools. Orders are quoted and processed in US Dollars. Upon request, we can complete vendor application forms and send a W8BEN (in place of W9). Please send requests for those forms through to accounts@haesemathematics.com
The following payment options are available
Credit card – please use the secure link to settle the order. For safety reasons, we cannot take card details over the phone Your payment will be taken in USD through our 3rd party website, and a receipt will be emailed through to the email address used to make the quote
International Bank Transfer – this is most suitable for orders over USD$700. The details of our USD bank account in Australia can be found at the bottom of the quote. This should be treated as and international wire transfer and not a domestic payment. Additional fees and charges may be levied by your bank and we encourage you to investigate fully before proceeding. The customer is responsible for the payment of all fees and charges associated with an international transfer, including those of the receiving bank. We reserve the right to ask for additional payment should the full quoted amount not arrive into the bank.
Purchase order – we are happy to accept purchase orders with payment terms of 30 days. Payment is then made using the two options above. Please indicate the accounts payable email address on the purchase order or email.
IMPORTANT NOTE REGARDING USD CHECKS.
Due to regulatory changes in Australia, we are no longer able to accept checks in foreign currency. We understand that this could be problematic for many districts. Before proceeding with a purchase order, please ensure you speak with your accounts payable department regarding this issue. If you are unable to order directly with us because of this issue, we can recommend vendors within the US.
All other international schools
We require prepayment of all international orders before dispatch. When you contact us for a quote, we will offer the options of credit card payment or bank transfer under the same terms as our US schools. Orders can be made in AUD, USD, GBP or Euro. Please indicate your preferred currency.
If you have invoicing requirements such as the inclusion of Tax ID numbers, please send that information through BEFORE the order is invoiced as corrections cannot later be made.
School orders for digital products
Schools with an existing account on the Snowflake platform can place orders via the "Purchase Subscriptions" button on the homepage. The schools discount will be added at the check out page. Schools can request a copy of their final invoice during check out and a copy will be sent through by the end of that month.
Booksellers
Booksellers within Australia
If you hold a credit account with us and it is within its terms of trade, you are welcome to send a purchase order and we will arrange immediate dispatch. Orders will not be sent if outstanding invoices need to be settled. Freight will be added to your order. If you require your PO and invoice to match, please make this clear when ordering as this cannot later be rectified.
As of November 2024, we are no longer accepting applications for credit accounts.
International Booksellers
All international booksellers are required to prepay before an order is processed. We are not able to offer credit terms. Shipping will always be added to your order unless you indicate that you wish to collect your order from our warehouse.
We will not alter invoices for customs purposes.
Our standard bookseller discount is offered to all companies that wish to trade with us and cannot be altered. Discounts are reviewed annually on 31st March. Booksellers will be advise by email if their discount will be changing for the next 12 months.
Booksellers and digital subscriptions
If you are a bookseller and wish to purchase digital subscriptions, please contact info@haesemathematics.com and we will advise you of our terms and conditions. A terms of trade agreement must be signed before digital subscriptions will be sold
Material for students who are visually impaired
If you require files so that you can convert our material into large print or braille, please contact philippa@haesemathematics.com and we will do our best to accommodate your requests.
Purchasing of second hand and used books
When purchasing a used book from a friend, school, or 3rd party reseller, you must ensure that any associated subscription belonging to that book is transferred to you at the time of purchase. Unfortunately, we are not able to provide free subscriptions if the subscription is not transferred. We are not able to transfer the subscription from one user to another without the consent of the original owner. If you require a subscription and cannot speak with the original owner of the book, you will need to purchase a full-price online-only subscription.
